Before enabling Warehouse Management, please read through this guide completely. Multiple steps are required and misconfigurations may produce adverse effects. You must have Admin privileges to complete some tasks.
Step A: Direct Sales Products
If you haven’t already done so, your account will require Direct Sales Products to be uploaded. Each LCBO and TBS product will need to have a linked Direct Product. DigThisData provides templates to batch import products (see: How to: Set Up Direct Sales Products and Customers) or alternatively, you can create products individually using the tools provided.
Step B: Enable Warehouse Management
- Navigate to Account Settings → Global Options.
- Toggle the Enable Orders Deplete Warehouse Stock pulldown to "Enabled Full" to use Warehouse Management for all channels including OnTap, or "Online Store Only" for OnTap integration only.
Step C: Link Retail Products to Direct Sales Products
(Note: Only required if you would like to warehouse manage LCBO and/or TBS products)
The LCBO typically sells individual units, however, when sold and shipped to the LCBO, typically cases are used. This step enables DigThisData to determine how you warehouse and ship your products to the retail channel. Make certain that any LCBO or TBS SKU is linked to the appropriate shipping case size as defined in your Direct Sales Products.
- Navigate to Data → Manage Products.
- Select the Direct tab.
- Click on each product to spawn the edit window.
- If not already selected, select a corresponding LCBO and/or TBS product from the provided (LCBO Product/TBS Product) pull downs.
- Click Save.
Step D: Enable Warehouse Management for Products
- For each channel (LCBO/TBS/Direct), select each product you would like to deplete warehouse inventory individually.
- Click on the Warehouse Stock Management: Enabled button at the top of the edit window.
- If successful, the “Enabled” button should turn green. If unsuccessful, follow Step C above to make sure the retail product is linked to a corresponding Direct Product.
Note: Direct Products can be enabled without any linking.
Products that are not inventory products such as discounts or keg deposits can be left without enabling warehouse management. They will still be available to add to orders.
Step E: Warehouse Creation
- Navigate to Data → Manage Warehouses.
- Click the Add New button in the options panel.
- Fill in the required form fields and click Save. Note that Warehouse Codes must be unique.
- Repeat for additional warehouses.
Step F: Add Inventory to Warehouses
- Navigate to Data → Warehouse Inventory.
- Click the Add New button in the options panel.
- Select the desired warehouse from the pull down menu and fill in the remaining form fields. Select New as the type.
- Once complete, click Save and confirm your inventory addition.
Step G: Assign Supply Warehouses to Retail Locations and Customers
- Navigate to Data → Configure Stores.
- Select a desired store.
- From the Supply Warehouse pull down, select the desired warehouse that will service this location.
- Click Save.
You can select multiple locations by clicking the checkbox next to each location, and then clicking on the dark blue Batch Edit button in the options panel. Selecting the top most checkbox will auto-select all locations in view.
The same process is used to assign warehouses to Direct Sales customers.
- Navigate to Data → Manage Customers.
- Select a desired customer.
- From the Supply Warehouse pull down, select the desired warehouse that will service this customer.
- Click Save.
You can select multiple customers by clicking the checkbox next to each customer, and then clicking on the dark blue Batch Edit button in the options panel. Selecting the top most checkbox will auto-select all customers in view.
Step H: Validate
Validate your changes by creating an order for a retail location or customer. The available warehouse inventory should be displayed and will update in real-time if another user creates an order with the same supply warehouse.
